Book the venue and celebrant first
For a destination celebration, a comfortable planning window is 10–18 months, with the venue, celebrant and photographer secured in the first booking round. If you are already in Bali and planning a smaller ceremony, ask venues for weekday and short-notice availability before changing the guest list or ceremony style.
Tell the celebrant whether this is a symbolic ceremony, vow renewal or legal marriage. A blessing does not carry the same paperwork as a legal marriage in Indonesia, while legal registration depends on nationality and religion. Give the celebrant both names exactly as you want them spoken, your preferred pronouns, the ceremony language, the approximate length and whether you want personal vows, readings or a ring exchange.
Ask the venue for one written quote that states whether the price is nett or “++”, what furniture and sound equipment are included, and who is responsible for local permissions. “++” can add 21 percent when 10 percent service and 10 percent tax are applied sequentially. Keep the venue date provisional until those exclusions are attached to the proposal.

Reserve the photographer before the details multiply
The photographer belongs in the first booking round rather than the final supplier scramble; the published Bali timeline places the photographer alongside the venue and celebrant at 10–18 months before the celebration. For a small wedding, send the date, venue area, guest count, ceremony type, coverage length you want and whether preparation photographs are included.
Give the photographer a compact brief rather than a large inspiration folder. List the people who need family photographs, the names of anyone who must not appear online, the exact ceremony location, the portrait route, your preferred editing style and the person who can gather guests after the ceremony.
Ask where travel is charged and when coverage ends. One Bali wedding cost guide gives supplier travel examples of IDR 350,000 around Sanur or Seminyak, IDR 600,000 around Uluwatu and IDR 850,000 around Ubud. The same guide says that photo and video crew overtime commonly costs 1 to 2.5 million rupiah per hour. Put the end time beside the last planned photograph so sunset portraits do not quietly become overtime.

Book makeup and hair as one morning plan
Reserve the makeup artist and hair stylist in the same planning phase as the photographer; the published destination-wedding timeline places hair and makeup at 8–10 months before the event. Send each artist the venue address, getting-ready room, number of people, service list, ceremony start and whether anyone needs an earlier finish for photographs.
The makeup brief should include your skin type, allergies, contact-lens use, preferred coverage, lipstick colour and whether you need a trial. The hair brief should include your hair length and texture, reference photographs from front and back, veil or headpiece details, and whether the stylist needs clean, dry hair on arrival.
If you are booking now for a near date, ask for a written arrival time, setup time, travel charge, assistant charge and cancellation terms. A site visit can combine venue checks with hair and makeup trials when the lead time allows. If there is no trial, send daylight photographs without filters and identify the room where both artists will work.

Read the venue quote past the headline
Villa weddings can carry a minimum stay of three nights and sometimes up to seven, plus a separate function fee for holding the event. One published example places that function fee at 7 million rupiah for house guests, 10 million below 30 guests, 16.5 million below 60 guests and 50 million above 60 guests. Treat those figures as one supplier’s example, not a universal Bali tariff.
Ask specifically about the banjar contribution, security, parking staff, local permissions, outside catering, corkage, vendor meals, transport, generator hire, cleaning and overtime. One Bali cost guide says to budget 3 to 8 million rupiah for the banjar contribution, with the amount scaling according to guest count, music and parking pressure.
Imported alcohol can attract corkage even when you bring the bottles yourself. The cited examples range from 150,000 rupiah per bottle for a relaxed villa to 350,000 for wine, 500,000 for champagne and 700,000 for spirits at a premium clifftop resort. Ask for the bottle unit, tax treatment and unused-bottle policy in writing before ordering drinks.

Build the morning around dependencies
Use this order for a small ceremony: hair and makeup begin first; the photographer photographs preparation; the celebrant checks the couple, vows and rings; the couple changes; immediate-family photographs happen before guests are seated; the ceremony follows; then signing or symbolic photographs, group photographs and portraits take place before food and speeches.
Give every supplier the same run sheet, venue pin, room name and one on-the-ground contact. The photographer needs access before the couple is ready, makeup and hair need an uninterrupted preparation room, and the celebrant needs a quiet final check before guests arrive. Put transport, rain cover and the fallback ceremony position on the same page.
Ask the venue to confirm when guests may enter, when sound may start, where the couple waits, who moves chairs and what happens if rain interrupts the outdoor plan. Published guidance recommends finishing the detailed run sheet and supplier contact information 2–4 weeks before the event. Send the final version to every vendor rather than relying on separate messages.

Lock the final handover before arrival
At the final supplier call, confirm the venue contact, arrival instructions, parking, payment balance, weather decision time, meal arrangements and the person authorised to approve small changes. Villa and hotel balances commonly fall due 30–60 days before the event, although some resorts ask for 90 days.
Send the photographer the family list and portrait priorities, the makeup artist current skin and lipstick preferences, the hair stylist the veil or headpiece, and the celebrant the final vows and pronunciation notes. Ask each vendor to reply with the agreed arrival time, deliverables, balance and any travel or overtime line.
Keep the final venue invoice in Indonesian rupiah if that is how payment settles. A quoted foreign-currency figure may be only a reference, while the contract and bank transfer use IDR. On the last day, carry printed vows, rings, contact details and the run sheet so the morning does not depend on one phone battery.
